Managing branches and executives

Find your branches, open one to read its contact details and roster, and keep its executive team current. Every executive change is logged so your local always has a clear record.

How branches are organized and who can see them

Branches are the organizational units in Unionsuite. Every member is deployed at a branch, and every branch belongs to exactly one region. That region-to-branch hierarchy drives who can see what. Your deployment may name these units differently.

Seeing branches requires the viewBranches capability, which an administrator grants in Role Management. Most staff roles have it by default, while plain member accounts are sent to a no-access page.

On top of the capability, the list is scoped by role. Administrators see every branch. Regional VPs see only branches in their assigned region. Branch Executives see only their own branch. This scope is a hard gate, not just a filter, so typing the URL of a branch outside your access returns a Not found page.

Finding a branch in the directory

The Branches directory lists the branches you are allowed to see, with a live result count in the header that updates as you search. Each result is a card showing the branch's display name, a region badge, and its address (a dash if no address is on file).

Search matches the branch's display name, its region, and its address, and it ignores accents, so searching quebec finds Quebec. If nothing matches, you will see a message inviting you to try a different keyword or clear the filter.

When a branch seems to be missing

Some deployments configure rules that adjust raw branch names before they reach the screen. A branch stored under one name can be shown under a corrected or standardized name, and known typos or suffixes can be fixed.

When two stored branches have been consolidated, the directory shows only the merged target. If you open an old pre-merge URL, the app redirects you to the merged branch's page, and the merged branch's Members list includes members recorded under either the old or the new branch name, so nobody disappears.

If a branch you expect is missing, check your role scope first, then search for its merged or corrected display name.

Reading a branch detail page

Opening a branch shows its name and region at the top, with a Back badge that returns you to the directory. The Contact card holds the branch's address, broken out by line, or a dash when nothing is on file.

The branch's own name, region, and address are display-only here. There is no in-app form to edit them; they come from the underlying records maintained by your deployment's data import or administrator. Executive details, by contrast, can be edited on this page.

The Members card shows everyone deployed at the branch, 25 per page, with Previous and Next controls. Search matches first name, last name, and job title, and every word you type must match somewhere. Each row shows the member's name, a status badge, and their job title; click a name to open that profile.

Which members appear on a branch

Members marked inactive or archived are hidden from everyone. Beyond that, the roster is scoped by your role. Branch Executives see only currently active members, so anyone on leave or off the active roster is hidden from their view. Administrators and Regional VPs see all non-archived members, each labelled by their status badge.

On a merged branch, the list also includes members recorded under either the old or the new branch name, so a consolidation never makes someone vanish. The exact status names that count as inactive or archived are configured per deployment.

Adding an executive

A branch can have any number of executives, including none, sorted by their Position title. Each card shows the person's name and position, plus small icons that reveal their email, phone, or home address when that data exists. Click an icon to show that detail and click it again to hide it. When a branch has no executives yet, you will see a message saying no executives were found for the branch.

Adding, editing, or removing executives requires the editExecutives capability, which an administrator grants in Role Management. Typically only administrators have it by default. The Edit button is visible to anyone who can open the page, but without the capability your changes are rejected by the server and an error appears.

Every executive needs a first name, last name, and position (for example Chair, Vice Chair, Secretary, or Treasurer), plus at least one of email or phone. To save typing, use Import from member to search the Members directory and pre-fill the name, email, and phone from an existing member; you still choose the position yourself.

  2. 2Click Add Executive to open the Add New Executive panel.
  3. 3Optionally use Import from member, then click a match to pre-fill First Name, Last Name, Email, and Phone.
  4. 4Fill in First Name, Last Name, and Position, and provide at least Email or Phone.
  5. 5Click Add Executive to save (or Cancel to discard), then click Done to leave edit mode.

Editing and removing executives

In edit mode, click an executive's Edit button to expand an inline form pre-filled with their current details. Adjust the fields and click Save Changes, or Cancel to discard. Save stays disabled while the form is invalid. If a save fails, the form reopens with your values so nothing you typed is lost.

Removing an executive is a two-step confirmation to prevent accidents. Click Remove, and the button changes to Confirm Remove with a stronger red highlight; click it again within a few seconds to actually remove them. If you do not confirm, the button resets on its own after about three seconds.

Every add, edit, and removal is recorded in the branch Changelog, and the app also creates an in-app notification for administrators and Regional VPs that links back to the branch page. Changes appear on the page immediately after saving.

  2. 2On an executive's card, click Edit and update the fields as needed.
  3. 3Click Save Changes (name and position are required, plus Email or Phone).
  4. 4To remove an executive, click Remove and then click Confirm Remove within a few seconds.
  5. 5Click Done when finished.

Tracking changes with the branch changelog

At the bottom of the branch page, the Changelog is a collapsible audit trail of every executive change made through the app. Click the Changelog heading to expand or collapse it; the heading shows the total entry count in parentheses.

Each entry shows the change type or field name in bold, the date and time, the email of the person who made the change, and a readable before-and-after of the values. Entries are listed newest first, 15 per page, with Previous and Next controls. There are no filter or search controls, so paging is the only way to reach older entries. If nothing has ever been changed, you will see a note that no branch changes have been logged yet.

Use the changelog to settle questions about when an executive was added or details were updated, without anyone having to remember.
