Email that arrives
Your emails are sent the reliable way, so they reach members' inboxes.
From blank page to every inbox
How a mass email actually goes out, with the guardrails that keep it safe.
Add recipients
Upload spreadsheets, add people by hand, or pull a list straight from the database.
- The export tool builds the recipient list from your live member database, so it’s always up to date, and you can target it by branch, location, job, or any other field.
- Duplicates are removed across every source; upper- or lower-case doesn’t matter.
- We check the list again at send time.
Build it with blocks, or with AI
Build the email from blocks, or write it with AI.
- Drag in text, headings, buttons, and images, with a live preview.
- Or paste plain text into “Write with AI” for a polished email in your union’s style.
- Bilingual by default, and it looks right in every email app.
Personalize and double-check
Personalize each copy, and let the system catch mistakes.
- Five tags like [first_name] and [full_name] fill in per member.
- A misspelled tag stops the send instead of mailing broken text.
- Unsubscribed people are skipped, and the From address comes from a short, admin-approved list on your own web address.
Send, with a full tally
Emails go out in batches of 100, at a steady pace.
- Afterward you get the full count: sent, skipped for unsubscribes (with names), duplicates, bad rows, and failures.
Three tools, one communications desk
Mass email, the comms calendar, and easy-to-build forms share one home, and one set of safety rails.
Write with AI, bilingual by default
The built-in AI writer turns pasted text into a clean email in your union’s style.
- Bilingual by default: an English section and a French section.
- Paste both languages yourself and each is used exactly as written, never re-translated or rewritten.
- Only a missing language is translated.
- The result is fully editable, so the last word is always yours.
A calendar your whole year fits on
The comms calendar is a month-at-a-time planning board, using your union’s own categories.
- Entries are sorted by type and colour; set repeats for recurring items, attach files, and get email reminders in your own time zone.
- A search box reaches across every month at once, ignoring accents, so the board doubles as a searchable record of what actually went out.
- Your team can suggest entries for an admin to add or dismiss.
- A mass email you just sent can be filed onto the calendar with a PDF copy attached.
Easy-to-build forms with a real check at the door
Build public forms and share them at a simple link, no member accounts needed.
- Restricted forms ask visitors for a 6-digit code we email them, and we check they’re allowed before any code is sent.
- You choose who’s allowed: branch executives only, admins only, or a custom list of up to 500 emails.
- Review answers in the app and export them to a spreadsheet, picking the columns you want.
Safety rails nobody has to remember
The system expects mistakes and catches them.
- Send limits: 3 per person per hour, 10 per union per hour, and a 30-second wait on the Send button, nobody emails the whole membership twice by accident.
- Optional or Required email types, a one-click personal unsubscribe link, and an admin-managed unsubscribe list you can search and re-add to.
- Emails go out only from verified addresses on your union’s own email address.
Bilingual, personalized, and safe by default
Languages per send
English and French in one email by default, your wording kept word for word when you write it. The program can be set to any combination of languages, with no limit on how many.
To a shareable PDF version
One checkbox makes PDF versions that look like a document, one per language, with permanent links members can open without logging in.
Broken personalized sends
A misspelled personalization tag stops the send before it leaves, members never get “Dear [naem]”.
Limits and timings as documented in the product manual.
Communications, asked and answered
Does the AI rewrite our messaging?
No. Text you write is used exactly as is, never re-translated, rewritten, or reordered. The AI only formats it into a clean email and, if one language is missing, writes that translation. Edit the result by hand before sending, or add optional instructions so the AI knows exactly what you need.
How do unsubscribes work?
Emails are marked Optional or Required. Optional sends include a personal one-click unsubscribe link. An admin-managed unsubscribe list (which you can search, block, and re-add to) is applied for you. Skipped people are named in the report after every send.
Can someone accidentally email the whole membership twice?
The safety rails make that hard. Duplicates are removed across every spreadsheet and hand-added name, then checked again at send time. Sends are limited to 3 per person per hour, with a 30-second wait on the button itself.
Who is allowed to send mass email?
It’s usually restricted to admins, but it can be adjusted to fit how your union works. From addresses come from a short, admin-approved list on your union’s own verified email address, so nothing goes out from an address you don’t control.
Do members need accounts to fill out forms?
No. Public forms live at a simple link. Restricted forms ask for a 6-digit code we email, and check that the person is allowed before sending any code. So committee-only forms stay committee-only, and no one has to create a password.
Can we plan recurring communications?
Yes. The comms calendar lets you set repeats, add per-entry email reminders in your time zone, attach files, and mark items done. A search box reaches across every month, your team can suggest entries for an admin to add or dismiss, and a sent communication files straight onto the calendar. Your plan and the record of what went out live in one searchable place.
