Member anniversaries

Browse a monthly calendar of members reaching a service milestone, drill into their details, and let the automatic daily digest keep your leadership informed.

What the Anniversaries page is for

The Anniversaries page is a monthly calendar that highlights members reaching a membership milestone, based on each member's union seniority date. It opens on the current month and year automatically.

Viewing the page requires access that an administrator grants in Role Management. Administrators, RVPs, and Branch Executives typically have it. Open it without access and you will see an ACCESS DENIED screen reading that you are not authorized to view Anniversaries.

What counts as a milestone

A member appears when the year you are viewing is an exact multiple of the configured milestone interval since their union seniority date. On most deployments the interval is 5 years, so milestones land at 5, 10, 15, 20, 25 and so on. A 7th or 12th year does not appear. Some deployments set a different interval, such as 1 to celebrate every year. The interval is a single number per deployment, so custom milestone lists are not supported.

The milestone is computed from the union seniority date on the member's profile, not the employer seniority date used by the Seniority list. The anniversary always falls on the same month and day as that seniority date, and the years are simply the viewed year minus the seniority year.

Members with no union seniority date on file never appear, and members whose worker status marks them inactive are excluded (members with no status recorded at all are still included). There is no holiday or weekend adjustment: an anniversary that lands on a Saturday, Sunday, or holiday is shown and emailed on that exact date. All today calculations use your deployment timezone, not your device's.

Browsing the calendar

The grid shows one box per day. Each day shows the day number with a count badge when one or more members have a milestone, a clickable entry per member with their name and a years badge such as 25 yrs, and No anniversaries on empty days.

What you see follows the same scoping as the rest of the app. Administrators see all Branches, RVPs see their region's Branches, and Branch Executives see their own Branch. If no Branches are associated with your account, the calendar shows no entries. If loading fails, an error card appears and you can adjust the month or year or retry.

  1. 1Use the Month dropdown and the Year field (1900 to 2100) to navigate; the calendar reloads when you change either.
  2. 2Click Refresh to reload manually if needed.
  3. 3Click a member's entry to load them into the Member Details panel beside the grid.
  4. 4To review history or preview the future, just set the Year field to a past or future year.

The Member Details panel

Before you select anyone, the panel reads that you should select a member to view details. Once you click an entry, it shows the member's name, work phone, email, union seniority date, and the anniversary itself as an exact date plus the milestone, for example March 14, 2026 with 20 years. Fields with no data show a dash.

With a member selected, the whole panel becomes clickable. Click it, or focus it and press Enter or Space, to jump straight to that member's full profile in Members.

The daily anniversary digest

Every day the app automatically emails an anniversary digest to staff. It runs on a schedule in the background, so there is no send button on the page.

The digest goes to every user on the access list with the administrator or RVP role. Branch Executives and members never receive it. Each recipient's digest is personalized to the anniversaries they are allowed to see, and a recipient is emailed only when at least one member in their scope has a milestone that day. Quiet days produce no email.

The subject reads Anniversaries Today with the date. For each member it lists name, years, Branch, work phone, email, union seniority date, and a View profile link into the app. The digest is sent only once per date and only during a configured send window. The daily digest is the anniversary notification; there are no separate pop-up reminders, advance-notice emails, or congratulation emails to members. To reach out directly, use the digest as your prompt or the mass email tools on the Members toolbar.

Configuring the digest (administrators)

Digest settings live in Role Management under the Email Routing tab, in the Anniversary Digest section. Opening Role Management requires tool-management access. Each field shows the deployment default when no override is set, and changes take effect on the next digest run with no redeploy.

You can set the From address the digest sends from, manage an Excluded recipients list of addresses that never receive the digest even when their role qualifies, set the send window as local hours from 0 to 23, and set the timezone. Excluded users can still open the Anniversaries page normally; exclusion only affects the email. The timezone governs both the send window and what counts as today on the calendar and in the digest, so the app and the email always agree on the day.

  1. 1Open Role Management and go to the Email Routing tab, then the Anniversary Digest section.
  2. 2Click Edit on the From address to override it, or Clear to return to the default.
  3. 3Under Excluded recipients, type an email address and add it; addresses are validated and de-duplicated, and stored lowercase. Click the chip's remove control to re-include someone.
  4. 4For the send window, click Edit, enter allowed hours from 0 to 23 separated by commas or spaces, then Save (or Cancel, or Reset to clear your override).
  5. 5Set the timezone to the IANA name for your union's zone; Clear returns to the default.

Troubleshooting

If you expected the digest but did not get it, check that you hold the administrator or RVP role, that you are not on the Excluded recipients list, that someone in your scope actually had a milestone that day, and that the digest had not already been sent earlier that day.

If a member is missing from the calendar, verify their union seniority date is filled in, their worker status is not an inactive one, their Branch is within your scope, and the viewed year is an exact multiple of the milestone interval. If the dates look one day off, check the Timezone setting in Email Routing, since the calendar uses the deployment timezone rather than your device's.
